Transferring Clients From Another Payment Platform to FITR (Coach)

A step-by-step guide to moving clients from another payment platform to FITR, including how to handle the transition window and calculate pro-rata refunds.

There is no instant switch for moving clients between payment platforms - it requires a planned migration over a short window. The process below has been used successfully by coaches moving hundreds of clients across to FITR.


🖥 Step-by-step migration guide

  1. Export your client list - download a transaction list from your current provider with payment dates, client names, and email addresses

  2. Communicate the switch - give clients advance notice (via email or a note in their current program) explaining the move and the benefits. Let them know they will receive a pro-rata refund for any overlap

  3. Set your transition window - choose a 1-2 week period to run both platforms in parallel. Write programming in both during this time. Stop writing in the old platform on the final handover date

  4. Share FITR sign-up links - send each client their program URL on FITR

  5. Cancel old subscriptions - once each client signs up on FITR, cancel their subscription on the old platform

  6. Process overlap refunds - calculate and issue a pro-rata refund for any days they paid twice


⚙️ How to calculate a pro-rata refund

Divide the client's monthly fee by the number of days in the month to get a daily rate. Multiply that by the number of days they paid both platforms simultaneously.

Example: £30/month over 31 days = £0.97/day. If they overlapped for 13 days: 13 x £0.97 = £12.61 refund.
